Minutes for Meeting 2684, Helmsmen Toastmasters Club 2412, Thursday, April 18, 2013.

Congratulations to Herman Raybon, Jr. on completing all requirements for his Advanced Leadership Bronze award!

Welcome to our guest, Janis Gaston! We hope you will consider joining our Club!

Business:

1. Save the date – To support Mike Quashne, winner of the Division ‘A’ International Speech Contest and Carlos Arzeno, winner of the Division ‘A’ Evaluation Contest! Both will compete at the 2013 District 27 Spring Conference on Saturday, May 4, 2013! The 2013 District 27 Spring Conference will be held at the Hilton Alexandria Mark Center, 5000 Seminary Road, Alexandria, VA 22311. The District Conference is an exciting educational and networking event for all District 27 Clubs and Members. The key note speaker is Ryan Avery, the 2012 Toastmasters World Champion of Public Speaking. See the attachments for Conference Flyer and Registration information.

a. Note the Early Bird Registration Rate ($95) for the 2013 District 27 Spring Conference ends Monday, 22 April 2013! After that date, the rate goes to $110 until Monday 29 April 2013, then to $125 until the day of the event.

b. Lunch with Ryan Avery and his wife Chelsea on Friday in the Pentagon Dining Room on Friday, May 3rd at 1100. Ryan will also be speaking at 5pm on May 3rd at BNA in Crystal City (same spot as Division contest). There will be a fee (amount currently unknown) for the BNA event. NOTE: There will not be a speaking workshop it the afternoon of May 3rd, as previously reported.

2. Easy Speak – From our VP Education, Mike Quashne, concerning Easy Speak- As you already know, our club is using a new planning, management, and tracking system. This system requires more input on the part of the user, and helps you to take full advantage of your Toastmasters experience. Users like you can use the system to indicate whether you will or will not be attending future meetings, volunteer, accept, and reject roles, and even schedule future speeches. I know that a new system can be intimidating, so I’ve put together a quick start guide (attached) which gives the basic information on completing the actions required of members. With the help of this system, Helmsmen Toastmasters will run exceedingly smoothly and your educational achievements will be tracked with pinpoint precision. Please take a look at the guide, log into the system, and take some time to look around, I promise that you can’t break anything that can’t be fixed!

NOTE: When following the section entitled “Book a Speech” in the attached EasySpeak guide, the process enters a ‘request’ to speak; it does not automatically schedule you. The VP-E or TMOD will sort through requests and schedule accordingly.

3. The minutes of the Helmsmen Toastmasters Executive Council meeting held on April 17, 2013 are attached.

4. Carlton Hart will be Toastmaster of the Day next week, Thursday, April 25, 2013. We will meet at 7:30am in room B7 of the Pentagon Library and Conference Center.

Congratulate Herman Raybon, Speaker 1, with his speech, “What Motivates You?,” Project 9 in the LE Series – Motivating People, Evaluated by Tim O’Neil.

Congratulate Yash Sinha, Speaker 2, with his speech, “First Job,” Project 2 – Resources for Entertainment from the Entertaining Speaking Manual of the AC Series, Evaluated by Kevin Kloeppel.

Table Topics speakers were Stephanie Pettway, Janis Gaston, John Harms, and Jill Shanteau.

Remember that you can always be on the “Hot Seat” for last minute changes.

Things change often, so when you are ready to give your speech, let the TM of the Day know even if you are not scheduled. We can always fit you in!

You can get credit for being Toastmaster of the Day, Evaluator, Table Topics Master, Timer and many of the other duties. During or immediately following the meeting, ask your fellow Toastmaster to provide a small evaluation in your leadership book.
